What We Are Seeking:
An administrative professional who excels in an environment where minutes matter. Our new team member will fulfill the following essential job duties and responsibilities:
- Answers the telephone and transfers calls to the appropriate party or takes detailed and accurate messages
- Greets visitors, adhering to Firm security protocol, including maintaining visitor logbook
- Processes incoming mail (via USPS and overnight carriers) and incoming faxes, ensuring delivery to the proper recipients
- Maintains conference room calendar and availability, ensuring that rooms are equipped with appropriate supplies and coordinating technology needs with the Firm’s Information Technology personnel
- Makes arrangements for catering of Firm events, including set up and clean up
- Maintains Firm office spaces, including ordering supplies and handling Facilities service requests, as needed
- Other duties as assigned, including overflow work from Office Administrator, Legal Assistants, and Billing Department
Qualifications:
- Education/Experience: a minimum of two years of related experience and/or training
- Computer Skills: To perform this job successfully, an applicant should have knowledge of the Microsoft Office Suite
- Experience in a law firm preferred
- Proven customer service skills
- Exceptional oral and written English communication skills
